The daily rhythm
- A customer calls. Open + New, start typing the villa name. If they've ordered before, everything fills in — guest, email, phone, truck size, price.
- Pick the day. Today, Tomorrow, or a specific date. Assign a driver. Save.
- Send it to the driver. On the manifest, tap Send to Driver. The driver sees the job in their app.
- Driver accepts, then delivers. Their taps update your manifest automatically — you don't have to do anything.
- Invoice it. Once delivered, tap Send Invoice.
- Log the payment. When the check arrives, go to Pay and record it. The invoice closes itself out.
The six tabs
- Today
- Everything scheduled for today. This is your working screen — dispatch, track, invoice from here.
- Tomorrow
- Tomorrow's manifest. Orders you took today for tomorrow's runs land here.
- + New
- Create an order. Villa autocomplete does the heavy lifting.
- Villas
- Your customer list. Add villas, edit contact info, set default truck sizes and custom pricing. Notes field is for gate codes and access instructions — drivers see these.
- Pay
- Every unpaid invoice, oldest first. Record checks here.
- Reports
- Week and month revenue, unpaid totals, CSV export.
Order statuses
Adding a driver
Business Setup → + Add Driver. Enter their name and phone. Their login is created automatically:
- Where they log in: your site address +
/driver.html - Their username: their phone number
- Their PIN: the last 4 digits of that phone number
Write those down and hand them over. Nothing else to set up.
Driver leaves? Edit them and uncheck Active. Their history stays intact; they just stop appearing in the driver dropdown.
Truck sizes and pricing
Business Setup → Truck Sizes. Add as many as you run. Each one gets a default price.
Individual villas can override that price — open the villa, fill in a custom price for whichever size. Leave it blank to use the default.
Set a villa's Default Truck Size and that size auto-selects whenever you pick that villa on a new order.
Truck down? Edit the size and uncheck Active. It disappears from the New Order screen until you turn it back on. Past orders are unaffected.
Entering deliveries you already made
Catching up on last month? On + New, choose Pick Date and select a past date. A checkbox appears: Mark as already delivered. Check it and save.
The order goes straight to Delivered, the invoice generates automatically, and it shows up in your reports and on the Pay tab — as if you'd done it live.
End of day
Reports → Run Manual 8 PM Close. Anything still unfinished rolls to tomorrow's manifest, and today gets archived.
The surcharge button
Emergency run? Late night? Long haul? Tap the gold surcharge button on the order. Set the amount and what it's called in Business Setup → Surcharge.
